Position: Senior Associate, Operations
Job Location: Arusha, Tanzania
Reporting to: Operations Manager, Africa
Key responsibilities for the role include:
Greenlight
Planet is looking for a self-driven, passionate, socially minded
experienced professional to join its Operations team. The incumbent
shall be responsible for the following:
1. Inbound Logistics- preparation of importation orders seamlessly by:
- Working with the relevant Tanzania authorities e.g Customs, Tanzania revenue Authority and local government to ensure GREENLIGHT Planet is totally compliant as per the East Africa Community Customs Management Act (EACCMA) 2004.
- Ensure document compliance as per the EACCMA 2004
- Ensure timely clearance by closely following up expeditiously on the clearance process as per the set SLAs with the CHA.
2. Vendor Management
- Closely monitoring the CHA as per the set KPIs
- Ensuring all 3rd party charges are as per the tariff
- P2P best practise by ensuring that vendors are paid on time
3. Inventory Planning
Plan
for inventory levels as per the requirement of Easy Buy (EB) direct
sales to ensure optimum stocks with zero stock outs at all times by:
- Following up on inventory projections from the head of sales
- Comparing the projections with the updated pipeline inventory
- Analysing everyday sales from Angaza for purposes of replenishment and invoicing
- Forecasting on a 6-week lead time
- Establishing an EOQ
4. Inventory Management and Warehouse Management
Managing all inventory at the warehouse from the time of receipt and allocation of stock to the time of outward report by:
- Ensuring the GRN is done within the set KPIs
- Billing and invoicing compliance in accordance with set KPIs
- Ensuring that new received stock is allocated accordingly
- Ensuring that stock received is put away in accordance with best practice of FIFO
- Working with finance to ensure a timely replenishment of stock
- Daily invoicing of the sold-out units
- Initiating orders and following up with 3PL provider for order picking/filling
- Coordinating dispatch to ensure timely receipts at the shops
- Ensuring zero stock outs of EB and raising an alarm foreseeing such a situation in good time i.e. using the forecasting vs lead time to alert such a situation.
- Coordinating weekly cycle counts and monthly stock counts in conjunction with the service provider.
5. Outbound Logistics
Coordinating a flowless outbound for the purposes of DRP to avert any situation of bullwhip effect by:
- Best practices of JIT
- Measuring the service provider as per the set KPIs of O-T-D
- Ensuring that delivery to shops is done within the set timelines
6. Greenlight Planet outlets(shops) inventory
- Ensuring complete visibility of inventory at shop level and at EO level by
- Keeping tab of inventory level at the shops by daily/weekly follow up of inventory update by shop managers
7. Warranty and Disposal Management
- Coordinating warranty replacements and reverse logistics for in warranty stocks from shops to the EB technical team
- Spearheading the disposal process for all returns in accordance with Tanzania set laws.
8. Reporting
- Inventory Reporting Weekly on EB stocks at warehouse, shops and EO levels
- On hand inventory for all stocks (Cash and EB)
- Daily EB sales report comparing Angaza Vs daily invoiced.
- Goods in transit report (GIT)
- Any other report as need be.
The ideal candidate:
- Has a degree or Post Graduate qualification (MBA-preferably Operations/Finance(audit)/ actuarial science/Tax) from a Premier institution
- APICS certification (CPIM or CSCP) /CPA would be an added bonus
- Has 5-7 years in Supply Chain Management with experience working in rural markets or working with FMCG / Pharma / product distribution companies / Clearing and Forwarding companies
- Knowledge and hands on experience on imports / customs tariffs / procedures, inbound and outbound logistics, including reverse logistics, warehousing & physical distribution,
- Commercial / Fiscal knowledge on Common External Tariffs, International nomenclature and Harmonized coding systems, local tax regimes, entry taxes, etc. for Tanzania
- Ability to manage and work with 3PL/4PL service providers and outsourced logistics service providers
- Ability to work with distributors, sales teams and sales agents to ensure smooth distribution operations
- Knowledge and hands on experience of Audit /Data analysis / statistical compilation
- Ability to work with distributors, sales teams and sales agents to ensure smooth distribution operations
- Ability to collect sales data, use the data to forecast and plan for inventory
- Knowledge and working experience with a robust ERP / WMS
- Excellent hands on Experience on use of computer tools (excel /macros /v-lookup /charts /pivot table) for analysis for business
- Ability to work comfortably with and maintain large volumes of data in excel
- Excellent communication skills in both English and Kiswahili
- Ability to work remotely under minimal supervision
